MazeMap Workplace Desk Booking — Features in Detail
Role and Permission Management
Administrators can restrict the visibility of workspaces so that users can only see workspaces within their own department or organizational unit. Existing Active Directory groups are automatically imported; permissions are synchronized via SCIM from Microsoft Entra ID.
Configurable posting rules
Administrators can specify how far in advance users are allowed to reserve workstations, limit the number of concurrent reservations per person, and define sets of rules for each user group—for example, to prioritize executives or to give preference to accessibility requirements.
Attribute-based workstation filtering
Users can filter workspaces by attribute keywords, including amenities (e.g., height-adjustable desks or connected monitors), accessibility features, and activity type (e.g., focused work or collaborative work).
Interactive building map
Available workstations are displayed on an interactive floor plan of the office, including their location on each floor. Users select workstations directly from the floor plan.
Privacy Policy
Sharing personal booking information is opt-in. Users decide individually whether their bookings are visible to their colleagues.
Visibility of colleagues and collaboration
Users who agree can indicate that they are working on-site and see where their colleagues have reserved a workspace. This helps coordinate days when everyone is in the office.
Visibility of first responders
Users designated as first responders can be highlighted on the building map and in the booking views so that other employees can see which first responders are on site and where they are located.
analytics
All booking data is available for analysis, including booking behavior (time of booking, lead time) and occupancy (reliability of bookings, check-in and check-out rates). Booking data can be combined with occupancy data from sensors to compare reserved capacity with actual usage.
Favorites and Personalization
Users can mark workstations as favorites to book them again more quickly. Personal default booking times can be set individually, for example to accommodate part-time schedules such as half-day shifts.
Auto-Checkout
Reserved workstations are automatically released if no one is detected and returned to the pool of available workstations.
